Data Protection and compliance policy: S4 Swansea Science for Schools Scheme

What information do we collect about you?

Personal data for which Swansea University (S4 Project) is the data controller:

Educators

  • Full Name
  • Organisation
  • Email address
  • Interests
  • Consent box – permission to contact the user in the future for feedback on resources

 Learners

  • Email address
  • Age Group
  • School
  • Consent box – permission to contact the user in the future for feedback on resources

 

How will your information be used?

The information you provide will be used by the University (S4 Project) to find out which of our resources are used the most and to find out what educators and learners use our research for.

This helps us to defend the impact of our project and learn lessons about how to produce future content.

 

Legal Data

Why we collect individual data and how we use it

We collect data on individuals for the following reasons: –

  1. For impact – to be used to help us defend the impact of our project and learn lessons about how to produce future content.
  2. For monitoring purposes – to be used as evidence for future funders, to help give us a clear insight into which of our resources are used the most and to find out what educators and learners use our research for.
  3. Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller

 

 How data is processed and stored

The portal user (educator or learner) is required to fill out an online form to access the resources which signs them up to the S4 Portal (s4scienceportal.co.uk). The user is required to let us know if they consent to be contacted in the future for the outlined purposes. All online form data is stored securely on our website (s4scienceportal.co.uk) which is hosted by Swansea University and is backed up on a secure server.

Email Contact – For interactions that involve the S4 Project directly contacting an individual if consent was given. The portal user (educator or learner) will be contacted by a member of the S4 Project team using the email address provided when completing the online form.

 

 Who receives your information?

Anonymous data is processed for the purpose of statistics and analysis. Anonymising data will involve removing their full name and email address. The school name may be pseudonymised if necessary.

Data collected from the S4 Portal may be made available, in an anonymised dataset, to external bodies for analysis, impact and funding purposes.

 

 How long will your data be held?

The data will be for 6 years after the users last access date to the portal in accordance with the Limitation Act 1980 c. 58 s 5 for externally funded research projects.

What are your rights?

You can cancel your account at any time, to do this please email s4science@swansea.ac.uk

You can withdraw your consent to be contacted for feedback on resources at any time, to do this please email s4science@swansea.ac.uk

If you have any concerns about what information is being held, you have a right to access your personal information, to object to the processing of your personal information, as well as the right to rectify, erase and restrict your personal information. If you have any concerns about the use of data for these purposes or would like a copy of the data we hold about you, requests should be made in writing to the University Data Protection Officer:
